// AI in Ishtar365

One digital brain that really knows your organisation.

Not a chatbot bolted onto a pile of loose files. AI that runs on your own documents, your own processes and your own permissions. Every answer with a source, every action with a trail.

“Which supplier contracts expire within 60 days, and who needs to sign?”
Agent
4 contracts expire before 11/10/2026. Three renew automatically, with a notice period that lapses next week. Signing authority: Finance for two files, Operations for one.

// One company, five profiles

Everyone asks their own question of the same brain.

From the site to the boardroom, from HR to projects. The same underlying data, and every time an answer that fits the role of whoever asks.

The digital brain

One brain for your whole organisation. It knows your data, your documents and who is allowed to see what.

On site“My safety boots are worn out.”Task created · #4218 with the site manager.
Office“How many flats are still for sale at Southgate?”3 available · 4 under option · 3 sold.
HR“Who has called in sick 2 or more times this quarter?”2 employees · J. Peterson (3×) and M. Clarke (2×).
Projects“Is the excavator still free tomorrow?”Free from 1pm · then on the Canal Zone site.
Managing director“What was last month’s revenue?”€ 1.24m · 8% above the month before.
// The situation

AI on scattered data gives scattered answers.

A pilot with a chatbot. A demo that gets everyone excited. And then the two questions that stop everything: where did this answer come from, and was this employee allowed to see it?

Most AI projects do not fail on the model. They fail on what sits underneath. Documents across five systems, processes in mailboxes, permissions nobody can fully explain any more.

Ishtar365 starts with that foundation, and puts AI on top of it.

// Who does what

Four roles in every process.

In every flow below you will see the same four players. That way you always know which part runs automatically and where a person decides.

Human

The person

Asks the question, reports something, or approves. Every decision with consequences stays here.

AI Extractor

The extractor

Reads documents and mailboxes, recognises the fields and fills in the lists. No typing.

Flow Automation

The flow

Assigns, sends, reminds and escalates. Every step with an audit trail.

Agent

The agent

Answers with a source, within your permissions, and proposes the next step.

Some Examples

// Absence · from report to insight

From sick note to insight.

An employee calls in sick. The platform collects, structures and unlocks the data. You keep the overview without a single Excel file.

Human

Employee calls in sick

The report comes in by email or through the portal.

System

Documents centralised in the DMS

Certificate and correspondence land automatically in the right file.

AI Extractor

Metadata into the list

The extractor reads the documents and fills in the absence list.

Ask Ishtar365
HR
“Who has called in sick 2 or more times?”
Agent
2 employees: J. Peterson (3×) and M. Clarke (2×). Both files are still marked “in progress”.
// Document management · AI extraction with permissions

Same question. Different answer.

One document in, all the metadata out. And which answer you get depends on who is asking. This is the difference between a chatbot and a platform.

Certificate read, data extracted

An electrical inspection, EPC certificate or asbestos report goes in. The platform reads the document and fills in the list.

Every extracted field immediately becomes a filter: search by property, date or validity.

// The AI modules

Three places where AI already takes work off your hands.

Each module works on its own. Together they share the same data, the same permissions and the same structure.

// What it delivers

Six things that change once AI runs on your own foundation.

01 / Search time

Asking instead of searching

No more working through folder structures. You ask the question and get the file, with the reason it is relevant.

02 / Data entry

Less manual entry

Metadata is recognised rather than typed. What used to be a form is now a two-second check.

03 / Speed

Faster from idea to process

A first working workflow takes shape during the conversation itself, not after a series of specification sessions.

04 / Trust

Answers you can check

Every statement has a source. If something looks wrong, you can see straight away where it came from.

05 / Security

Permissions stay permissions

AI does not open a back door. What someone may not see in the platform does not turn up in an answer either.

06 / Ownership

Your data stays yours

Everything runs on your own Microsoft 365 tenant. No vendor lock-in, no copy in a system you cannot reach.

Steffy De Meulemeester
“Ishtar365 gives us the structure we needed to really leverage our HR data. No more scattered tools, just one flexible platform that grows with our needs, our people and our business.”
Steffy De Meulemeester · HR Manager at Spuntini
// Frequently asked questions

AI in Ishtar365, explained clearly.

The data created in Ishtar365 stays on your own Microsoft 365 tenant. The AI layer queries that environment, it does not move your documents to external storage.

No. The permissions and groups you have set up in the platform also apply inside every AI answer. The same question therefore gives a different answer depending on who asks it.

Every answer shows where it came from: the document, the record or the process. You can click through to the source and check it yourself.

Actions with consequences stay with a person. The agent prepares, assigns and proposes. The approval itself is a deliberate step, with the same audit trail as every other step in the process.

No, but structure helps. That is why a project usually starts with document management and processes. The better the foundation, the more reliable everything AI builds on top of it.

No. Everything is no-code. Someone from HR, finance or operations can set up and adjust processes themselves, without an IT ticket or a development sprint.
