Weekly Challenges - Challenge us with your process!

We often get the question, "Can this also be done with Ishtar365?"
The answer is usually: yes - which is why we are launching our Weekly Challenge!

Each week we highlight an actual process that we configure in Ishtar365. And the best part? You get to challenge us along.
Fill out the form and maybe you'll see your process featured as the next challenge soon.

Smart visitor registration

The challenge :

We don't know who will enter our building today. We rely on everyone who arrives to register and then sign out again.
So we don't know who is in our building.

How would you solve this in Ishtar365?

Complete control over your materials !

The challenge :

Technicians leave every day with their equipment to perform interventions. It sometimes happens that materials go from one vehicle to another.

The overview is quickly lost, who took what and where are all these tools?

Structured documents for building management

The challenge :

Each building brings with it its own documents:
leases, site descriptions, inspection reports, certificates, inspection reports, maintenance reports, plans and permits

These documents are kept in separate folders by building, on shared network drives, in Teams ... or hidden in email attachments. We lose a lot of time retrieving the information.

Direct and easy access to info for technicians

The challenge :

An engineering company builds and maintains custom manufacturing machines.
A technician leaves for a customer in the morning; he needs to perform maintenance on an HVAC system.
But where is the manual for that particular appliance?
Where is the last inspection report?
And has a previous intervention been recorded?

Customer portal for Engineering company

The challenge :

An engineering company builds and maintains custom manufacturing machines.
Their customers regularly request updates, technical documentation and insight into planned interventions.
Today, that information is scattered across emails, Excel files and shared folders.
Documents get lost, customers can't follow up on their requests and communication is slow.

The monthly works council

The challenge :

Every month we organize a works council.
There are questions from the union, preparations by HR and management, and afterwards the official minutes must be distributed.
Today this is done via endless emails, attachments and Excel lists.
Documents get lost, versions differ, and not everyone gets the right information.
How can we make this more transparent and structured?

Approval Flows

The challenge :

For purchases over a certain budget, we ask employees to submit at least three quotes before final approval can be granted. Today, this process is done via email, making it difficult to track documents, approvals and decisions. How can we structure this better?

First aid - Reporting

The challenge :

Our first aid reports are mainly in E-mails and Excels, without an overview. Occupational accidents are not linked to these reports. Can't we have an overview of our various sites and types of accidents?

Shielding sensitive data

The challenge :

We use different tools to manage our HR processes, so everything is somewhat scattered. Our prevention advisor needs access to attestations such as first aid or safety training, but he should not have access to personal information. Do you have a solution for that?

Accidents and Insurance Succession

The challenge :

Whenever a workplace accident occurs - with a
truck, van or employee - we find that follow-up is often
lost. Everything ends up in mailboxes, documents are scattered and there
is no clear overview of the status of each file. How can we
handle this more efficiently?

External portal for the Advisory Board/Board of Directors and Shareholders

The challenge :

For our monthly board meeting or annual shareholders' meeting, members need timely invitations and easy access to the appropriate documents. Today this is done via SharePoint, but that often causes problems with invitations and access rights. How do we solve this structurally?

The Metadata Revolution

The challenge :

After completion of a project, photos need to be taken and saved. In the best case, these end up in the right folder ... but often they get stuck on personal drives or PCs. There is no overview: who has what? Where can we find the right images? Keeping everything tidy takes too much time and energy.

One central hub

The Challenge :

When new employees start, they often lose a lot of time searching for tools, platforms and websites. IT has to manually set up shortcuts or provide instructions. The result? Lost time, frustration and a messy desktop.

Structured Onboarding

The challenge :

The induction of a new employee involves several people: IT has to provide equipment, HR registers the employee, the manager has to plan a welcome meeting... But without structure, everything happens ad hoc: scattered emails, Excel lists or handwritten notes. The result? Things get forgotten, tasks overlap and precious time is lost.

Employee Portal

Certain of our employees do not have a microsoft account and it is difficult to access them. Even they do need to have access to certain documents such as the work regulations, guidelines or even need to attend training instruction from time to time, as well as be informed of certain events. How do you solve this?

Structured recruitment

The challenge :

CVs, interview results and data of reserve candidates are stored on personal OneDrives. This results in a lack of overview: where do we find which candidate? How do we manage our recruitment reserve? How do we make sure everyone knows where to look?

Processing expense reports

The challenge :

Expense reports are now forwarded via email. Following up and processing them takes a lot of time - how can we make this more efficient?

Certificate Management

The challenge :

Our certificates are scattered everywhere. When making a file, it is always searching, and sometimes certificates even turn out to be no longer valid.

Asset Management

The challenge :

There is a fine for a car, but we miss the link of whose car is it? Not everyone has access to our leasing company's platform.
